Introduction
Once the IRS 1094/1095-B or 1094/1095-C XML files have been created, they are ready to be submitted to the IRS. In order to complete this process, you will need to have a user name and password already setup with the IRS e-Services and must be setup as an authorized user of your organization.
Submission Process
Go to the Affordable Care Act Information Returns (AIR) Program page and click on "AIR UI Channel Login - Production on the right side under UI Channel Link
Login using your IRS e-Services user name and password.
Select the organization that you are submitting and click the "Submit Selected Organization" button.
Click the "UPLOAD ACA FORMS" button.
Select the Manifest File and Form File that was created when the 1094/1095 Reports were run then click the "TRANSMIT" button.
Store the Receipt ID from the Transmission Confirmation page so that you can check back on the status of the file to ensure your file is accepted.
Checking the Transmission Status
Follow steps 1-3 listed in the Submission Process.
Click the "CHECK TRANSMISSION STATUS" button.
Enter your organization's TCC and the Receipt ID from step 6 in the Submission Process.
If the file has been accepted, you will see a "Transmission Status Details" page that shows the status as "Accepted."
If the file has errors, you will see a "Transmission Status Details" page that shows the status of "Rejected" and the errors will be listed. In order to submit the file again, these errors must be corrected. For more information on how to correct the errors, visit the Correcting Errors Tips section of this page.
Correcting Errors Tips
Download the Business Rules and Error Codes documents from the IRS by going to the IRS Schema and Business Rules page. Once on the page, there will be a section for Business Rules that has a link to download the files.
Open the applicable business rules file. For example, if you were trying to upload the 1094/1095-B forms, use the 1094-B file or the 1095-B file (you may need to open both). The download should include a spreadsheet version and a duplicate PDF version of the same file.
Press the CTRL and F keys on your keyboard at the same time to use the Find feature to search for the Error Code listed on the "Transmission Status Details" page.
Use the information contained in the "Business Rule Text" column in the Business Rules document to learn what the error means and correct that issue in Smart Fusion.
