Introduction
This form allows users to copy insurance and benefits from one tax year to another. If an employee has records from the previous year all the dependent information will be copied from the prior year information as well.
Explanation
Options
Select Process
- Print and Update
- Print Only
- Update Only
Select Benefits to Copy
Only the selected benefits from the drop down list will be copied to the new year.
Effective date
Date to be used as the new benefit code's begin date. Will also be used for the dependent's benefit start date if dependents exist for the benefit being copied. Also used as the payroll change date in the Insurance and Benefits master.
Copy from
The tax year the benefit codes will be copied from.
Copy To
The tax year the benefit codes will be copied to. Must be a four digit year greater than the Copy from year. Also, cannot be more than 5 years in the future or past.
Include inactive employees
Specifies if inactive employees in payroll should be included or not.
Include SSN on report
If checked, the employee's SSN will be printed on the report. If unchecked, the employee number will be used instead.
Employees
Allows users to filter by employee.
Overriding Existing Records
If data is being copied to a tax year where benefits already exist, a warning message will appear notifying users. Users will then be given the option to override if they wish to replace the existing benefits with the copied data. NOTE: if a user chooses to override existing benefits, the data for the benefits will be lost and replaced with the copied benefit data.
Benefits that will not be copied
- Benefits that have been terminated (termination date is set on the benefit). This does not include benefits with termination dates outside the year of the effective/end date.
- Employees that are inactive in payroll (if Include inactive employees is unchecked)
- Benefits that already exist in the new tax year for the given employee (if the user specifies NOT to override)
