6.229 - If 'Assign multiple purchase orders to single voucher' is set in AP System file, then the purchase order information will be obtained from the voucher detail.

Introduction

When vendor invoices are entered through Enter/Edit Vouchers, the AP system checks the ledger to make sure valid accounts are being entered, and budget availability for each account is checked if the option is set in the Accounts Payable System File. However, ledger account balances are not updated until the invoices and checks are posted through the “Post AP to Ledger” process.
How frequently the ledger should be posted is the client's choice, but to keep the ledger balances current, it is a good idea to post to ledger after each check run or after a significant batch of invoices have been entered. The system can accommodate your organization if it uses multiple cash accounts and these cash accounts had the same range of check numbers. The register can also be posted to ImageDirector with Milner's Image Director license.

Select Process

Post Only - The checks will be posted to ledger but no report will be printed.

Print & Post - The checks will posted to ledger and a report will be created

Print Only - When selecting this option only a report will be printed but nothing will be posted

Print Option

Detail - This option will print the report showing:

  • Account Number/Description
  • Voucher Number
  • Vendor Name
  • Postings For Accrued Invoices
  • Accrual Posting in Current
  • Accrual In Prior - Posting Date
  • Debits
  • Credits

Summary - This option will print the report showing:

  • Account Number/Description
  • Postings For Accrued Invoices
  • Accrual Posting in Current
  • Accrual In Prior - Posting Date
  • Debits
  • Credits

Totals Only - This option will print the report showing:

  • Postings For Accrued Invoices
  • Accrual Posting in Current
  • Accrual In Prior - Posting Date
  • Debits
  • Credits

Vouchers/checks to post

All - This option will print all vouchers, checks, and voided checks

Paid Vouchers and Checks - This option will only show vouchers and checks that were paid

Voids Only - This option will only show voided checks

Vouchers Only - This option will only show vouchers

Enter range to include:

Check date - This allows you to filter the data you are looking by date range

Void Date - If you are looking for voided checks this option allows you to filter those by date range

Pay Groups - This option allows you to filter by Pay Group; It will be important when using this filter that the same filter was also used for creating the check proof

Posting date - This sets the posting date
